Job Description

Are you a detail-oriented analyst with a passion for data accuracy, inventory management, and operational excellence?

Viva Energy's Commercial Aviation business is experiencing significant growth, creating an exciting opportunity for a Fuel Movements Analyst to play a critical role in managing fuel inventory, stock reconciliation, and sales processing across approximately 100 aviation sites nationally.

This is more than just an administrative role. You'll be at the centre of a dynamic aviation operation, ensuring accurate fuel accounting, supporting key business decisions, and contributing to major transformation initiatives that will modernise systems and processes across the aviation network

Reporting to the Sales Support & Inventory Analyst, you will be responsible for monitoring and analysing fuel movements, maintaining accurate stock balances, supporting financial reporting, and ensuring the integrity of fuel management systems across the network.

Working closely with Finance, Aviation Operations, Tax, and Network Managers, you'll play a vital role in maintaining accurate product flow accounting and supporting the delivery of operational excellence across the aviation business.

Key Responsibilities

Fuel Inventory & Stock Reconciliation

• Monitor and validate aviation fuel stock balances and movements across approximately 100 sites nationally.
• Investigate inventory discrepancies, mass imbalances, and sales transmission issues.
• Perform stock reconciliations and ensure data accuracy across multiple systems.
• Support inventory reporting and analysis to improve operational visibility and control.

Financial & Commercial Support

• Process sales and inventory-related transactions accurately and efficiently.
• Create, manage, and maintain purchase orders.
• Provide accounts payable support and assist with invoice reconciliation activities.
• Compile monthly reports for Finance, leadership teams, and business stakeholders.
• Support product movement accounting and business reporting requirements.

Systems & Process Management

• Act as a key administrator for the Electronic Fuel Management System (i6).
• Troubleshoot system issues and coordinate timely resolutions with stakeholders.
• Support ongoing system enhancements and transformation initiatives.
• Assist in developing more efficient reporting and operational processes.

Stakeholder Engagement

• Partner with Finance, Operations, Tax, and Commercial teams to ensure accurate accounting of fuel movements.
• Support Network Managers with reporting, analysis, and administration requirements.
• Build strong working relationships across multiple functions and levels of the business.

Qualifications

• Experience in Accounts Payable, Inventory Analysis, Stock Control, Finance Administration, or a similar analytical role.
• Strong analytical and problem-solving capabilities.
• Advanced Microsoft Excel skills including pivot tables, lookups, data analysis, and reporting.
• Excellent attention to detail and commitment to data accuracy.
• Strong organisational skills with the ability to prioritise competing deadlines.
• Excellent communication and stakeholder management skills.
• A proactive mindset and willingness to support continuous improvement initiatives.
