Job Description

Purpose:

This position is responsible for all physical and system activities involving materials movement, inventory
transactions and documentation between the warehouse, production staging and shipping areas. One

key aspect of the role is to manage and control materials with different storage and shipping conditions
and handling procedures, such as Cold Chain, Dangerous Goods, Ambient, Chill and Frozen
temperature condition. Warehouse is the first control point of materials flow into the plant. Physical and
documentation checks must be in-place to ensure the quality, GMP and compliance requirements are
met.

Major Responsibilities:

  • Receipt of Bulk Tankers
    • Co-ordinate delivery of bulk tankers with Purchasing, Logistics, Manufacturing and QC to ensure efficient use of the loading bays to support a just-in-time activity for discharge of the different materials, thus balancing the bottlenecks of the various manufacturing resources. Proper planning, coordination and escorting of the bulk tanker is required.
    • Verify the receiving / GMP documents to ensure all information is in-placed.
  • Receiving
    • Unloading of cargo from the truck, physical inspection, goods receipt into SAP and put away of all materials that arrives in the plant.
    • GMP documentation check - inspect shipping documents from suppliers such COA/COC, verify against SAP and approved vendor list. Ensure full sets of GMP documents are available prior to goods receipt and material release.
    • Physical Inspection – ensure no damage or quantity / quality discrepancy. Trigger for joint inspection with Purchasing and Quality should there be any discrepancies.
    • Transfer materials received to in-house storage pallets, performing wipe-down as needed.
    • SAP Updates – perform GR and put away in SAP / RF (radio frequency) handheld devices.
  • Staging of Materials to support Manufacturing
    • Review the process order and manufacturing supply area remaining quantity requirement to create the transfer order in SAP.
    • Pick materials from the storage locations following the FEFO (first expire first out) criteria or hard allocation instructions in the process orders. Verify the lot numbers and expiry dates of materials before the staging.
    • Perform wipe-down / disinfection of the materials, according to quality procedures.
    • Stage materials to the respective Production staging area. Coordinate with Manufacturing to ensure the timing supports as manufacturing requirements.
  • Storage of API / BDS
    • Receive and verify quantity and condition of the products transferred from Manufacturing to Warehouse.
    • Perform the freeze down process guide by the manufacturing workflow to validate the freezer storage temperature at -80 degrees Celsius and the product transfer handling must be completed within the specific hours.
    • Ensure accurate records in SAP and the respective logbooks.
  • Shipping
    • Shipment & Product Sample packing according to the procedures such as strapping to secure the shipment and create the shipping mark manually based on the packing list and invoices.
    • Generates the shipping documents from SAP manually. Examples include the re-icing
      instructions to provide instructions to freight forwarders and receiving sites.
    • Pack the dry ice, temperature recorders and temper evidence seals per procedure
  • Warehouse Management
    • Organize and arrange materials storage and put-away according to the required storage conditions and coordinate with external warehouse for the replenishment material or external storage.
    • Ensure all materials (including rejected materials) are labeled and controlled accordingly to the requirements.
    • Update transactions in SAP and WMRF (Warehouse Management Radio Frequency) systems to optimize productivity.
    • Train and support both API & Bio Warehousing activity and flexible in deployment for resources optimization.
  • Cycle Count
    • Compliance with cycle count policy and conduct the inventory management routines as required.
    • Generate the count sheets in SAP accordance to the cycle count plan.
    • Perform regular cycle counts with Finance and Auditors.
  • Safety
    • Operate all material handling equipment such as Forklift and VNA with standard operating and safety procedure.
    • Experience in handling sterile, flammable and hazardous materials.
  • Others
    • Support and assist in investigation for any inventory discrepancies, violation of GMP and EHS procedure.
    • Contribute to establishing Warehouse SOP (Standard Operating Procedure).
    • Ensure that all tasks performed follow Standard Operating Procedures (SOPs) and comply with Current good Manufacturing Practices (cGMP) principles.
    • Raise any concerns during work to the Superior.
    • Any other duties assigned by the Superior or Management.

Qualifications

  • Diploma in Supply Chain, ITE or an equivalent.
  • Good interpersonal and computer literacy skills.
  • Minimum 2 years of relevant experience in GMP warehouse environment.
  • Knowledge of cGMP (current Good Manufacturing Practices).
  • Able to adapt to changing work schedules and hours including overtime when required.
  • Ability to work in a fast pace and challenging environment.
  • A willing and engaging team player as well as an independent worker, contributing positively to
  • team efficiency.
  • Possessing a valid forklift license and able to operate Reach Truck and VNA will be an advantage.
  • Prior experience working with SAP and MES system is preferred.
